How to Plan a London Party from Overseas
Planning a milestone birthday or private party in London when you live overseas can seem like quite a challenge.
How do you find the right venue when you can't easily view it? How do you choose caterers, entertainment and production suppliers from another country? And who makes sure everything is actually happening here in the UK while you're thousands of miles away?
The good news is that you don't need to be living in London to create an incredible celebration here.

Why Celebrate in London or Surrey?
London is a wonderful destination for a milestone celebration.
There are private dining rooms, contemporary event spaces, historic buildings, members' clubs, restaurants, rooftops, hotels and venues overlooking some of London's most recognisable landmarks.
But London doesn't have to mean central London.
For overseas clients looking for more space, privacy and beautiful surroundings, Surrey and the countryside surrounding London can offer something completely different.

A 60th Birthday Planned From Sydney, Australia
My client Deborah was living in Sydney with her partner Sian when she approached me about organising her 60th birthday celebration in the UK. Despite being on the other side of the world, we could plan the party together remotely, with Deborah ultimately choosing to celebrate in Surrey.
We discussed her ideas, priorities and budget together while I handled the practical work here in the UK.

You should still enjoy the creative decisions and anticipation of the celebration, without feeling that you need to project-manage an entire event from another time zone.
Finding the Right London or Surrey Party Venue
Venue finding is often one of the first major decisions.
Before starting a venue search, I want to understand much more than simply your guest numbers.
Are you imagining dinner followed by dancing? A sophisticated cocktail party? Live music? A marquee celebration? A relaxed weekend with friends and family? Somewhere quintessentially English for overseas guests?
Your budget, preferred location, guest numbers, entertainment, timings and the atmosphere you want to create all influence which venues will actually work.
I can then research and shortlist suitable London and Surrey party venues, speak directly with venues, check availability and arrange site visits.
Where necessary, photographs, videos, floorplans and virtual meetings allow you to be part of that process without having to fly back to Britain every time a decision needs to be made. And sometimes the right answer isn't a traditional event venue at all.
A private house, country property or marquee in a beautiful Surrey setting can provide the privacy and freedom needed to create something much more personal.
How Does Planning a UK Party From Abroad Actually Work?
The process begins with a conversation.
We can meet by video call and talk about why you're celebrating, who you're inviting and what you'd like your party to feel like. From there, I can begin building the event around you.
Technology makes international event planning considerably easier. We can use video calls, WhatsApp, photographs, floorplans, styling presentations, supplier proposals and video walk-throughs to make decisions together.
You'll remain involved in the elements you want to be involved in, while I manage everything happening behind the scenes in the UK.
And because I am here, I can physically attend the venue or meet a supplier when something needs to be seen rather than discussed over email.

A large private party can involve a surprising number of people.
Rather than waking up in Sydney, New York or Dubai to a stream of emails from a caterer, marquee company, florist, production team and entertainer, you have one point of contact bringing all those moving parts together.

When you're organising from overseas, that established supplier network is particularly useful. You don't have to start from scratch trying to work out who you can trust.
Looking After Guests Travelling From Overseas
If you're travelling to Britain for your celebration, there's a good chance some of your guests may be travelling too. That makes it worth considering the event from their perspective.
Where will everyone stay? How will they travel from London or the airport? Do we need coaches or cars to and from the party? And could the celebration become more than one evening?
For milestone birthdays and family gatherings, we can also explore welcome drinks, dinner the evening before, activities during the weekend or a relaxed lunch the following day.
It can turn a birthday party into a wonderful few days together.
When Should You Start Planning?
For a significant London or Surrey party, I would always recommend starting the conversation as early as possible. Popular venues, marquee companies, caterers, bands and production suppliers can become booked well in advance, particularly for popular weekends and the summer and Christmas seasons.
Starting early gives us more choice.
However, don't assume it's too late if your celebration is only a few months away. Depending on the date, location and complexity of the event, there may still be plenty we can do.
Arrive in the UK and Enjoy Your Own Party
This is ultimately one of the most important reasons for working with an event planner when you're organising from overseas.
You shouldn't arrive in the UK and immediately start checking deliveries, confirming timings with the caterer or finding out whether the band has spoken to the production company.
Those conversations should already have happened.
My job is to manage the planning beforehand, coordinate the suppliers, oversee the set-up and be there on the day so that when your guests begin arriving, you can actually be a guest at your own party.

Can you plan my London party if I live overseas?
Absolutely. Wonder Events can work with you remotely using video calls, telephone, WhatsApp and email while I manage venues, suppliers, site visits and event logistics here in the UK. My client Deborah's 60th birthday, planned while she was living in Sydney, Australia, is a great example.
Do I need to visit the UK during the planning process?
Not necessarily. Depending on your event, much of the planning can be handled remotely. I can attend site visits and supplier meetings on your behalf and share photographs, videos, floorplans and proposals with you.
